Taking one booking too many on a class that is already full, forgetting to pass a freed-up place on to the waiting list, finding out the same coach is teaching two classes at the same time: the daily reality of a gym, studio or dance school. This application brings together the class catalogue, sessions, bookings and the waiting list, for a recurring group class as much as for a one-off workshop, whatever the number of participants actually present from one session to the next.
Who the application is for
For gyms, studios, dance schools and commercial clubs that run group classes and need to manage bookings capped by each session's real capacity, with one or several coaches whose schedules must never overlap.
What the application does
- Creates a catalogue of reusable classes, with section, coach, duration and default capacity.
- Schedules dated sessions attached to a season, with permanent counters of confirmed, waiting and available places.
- Refuses to let the same coach teach two sessions whose time slots overlap.
- Confirms a booking or places it on the waiting list according to the place actually available at the moment of confirmation, so that two simultaneous confirmations cannot take the same last place.
- Automatically promotes, on every cancellation, the oldest waiting-list booking, as long as places remain and only for active members.
- Tracks attendance (present, absent) on each confirmed booking.
- Moves each session through four stages — draft, open, finished, cancelled — and only allows new bookings on an open session.
Day to day
- Create the class catalogue, then schedule the season's sessions.
- Open the session to allow bookings.
- Confirm each booking: capacity automatically decides whether it is confirmed or placed on the waiting list.
- On a cancellation, let the waiting list automatically move forward to the oldest request.
- Take the register at the session and mark attendance.
What the application does not do
- It does not open any public booking site: entries are made by the club.
- It does not handle any card payment or automatically collected subscription.
- It does not include any physical access control (badge, turnstile).
- Invoicing goes through the common membership-fee system, triggered by hand.
Getting started
Create your sections and coaches, build your class catalogue with their duration and default capacity, then schedule the current season's first sessions. Open each session once it is ready to take bookings, and adjust its coach or capacity if needed, as both are copied from the class but stay editable session by session. Keep in mind that capacity can never be brought below the number of bookings already confirmed on the session: cancel bookings first if you really need to reduce it.
