A property manager calls about a leak, a resident asks for a one-off clean, an outside provider invoices more than was agreed: a residential concierge service juggles very different requests every day, with in-house and outside providers whose real cost easily gets lost in the invoices. This application brings residences, residents, requests, providers and billing together in one place, and works out the margin actually made on every subcontracted job.

Who the application is for

For concierge services that look after residents settled long-term in a building or residential complex — property managers, social landlords, small residential concierge businesses. It does not cover concierge services for travellers in short-term lets, a different business with its own high turnover.

What the application does

  • Brings together the residences being managed, each with its reference property manager, and the history of every resident's requests.
  • Classifies each service request (cleaning, errands, odd jobs...) by type and priority, then assigns it to an in-house or outside provider.
  • Schedules the job in a shared calendar and tracks it through to completion, notifying the resident at every change of status.
  • Manages the resident's subscription, monthly flat-rate or pay-as-you-go, with the flat rate able to be worked out automatically from a pricing table based on the size of the home.
  • Bills the job to the resident, either on its own or covered by their monthly subscription, with the price and the provider's cost fixed at the moment the job is created.
  • Works out the concierge service's margin on every subcontracted job, and shows it in a dashboard by residence and by provider.

Day to day

  1. You log the resident's request with its type and priority, then assign it to a provider: the job is created straight away, ready to schedule.
  2. You schedule the job in the shared calendar, with the resident and the provider as participants.
  3. Once the work is done, you mark it as completed, then bill it: either directly to the resident, or it is simply covered by their monthly subscription.
  4. You follow, on the dashboard, the margin made by residence and by provider, to judge whether a given type of subcontracted work still pays off.

What the application does not do

  • It does not cover concierge services for travellers or short-term lets.
  • It offers no dedicated mobile app for residents, only the standard portal.
  • It does not include online payment, nor any management of keys or access badges.
  • It does not work out any staff cost for an in-house provider: the rate entered for an outside provider is only used to work out the margin on subcontracted work.

Free and full editions

The full edition installs on top without losing anything, and adds the resident's subscription, the rate paid to the provider, job billing and the concierge service's margin on subcontracted work.
