Keeping grades on a spreadsheet, recounting absences by hand, chasing a family behind on payment without knowing who already did: the daily reality of running an independent private school in France. This application brings together pupil files, grades, absences and tuition fees.
Who the application is for
For the management and administrative staff of independent or association-run private schools in France, who want a single tool for pupil files, classes, grades, absences and tuition fee billing.
What the application does
- Keeps a file per pupil, with their legal guardians, a payer and emergency contacts.
- Checks a class's maximum size when confirming an enrolment, and refuses overlapping active enrolments for the same pupil.
- Calculates a weighted average per subject and per term, and an overall average on the pupil's file, from grades and their coefficient.
- Records absences and lateness, with a reason that marks an absence as excused, with no effect on tuition fees.
- Resolves the annual tuition fee amount from a rate grid, or accepts it entered directly, then generates the monthly or termly instalment schedule.
- Bills each due instalment, automatically every night or manually, as a draft invoice to be validated.
- Schedules a reminder for office staff on an unpaid instalment after a grace period, without ever contacting the family itself.
Day to day
- Create the pupil's file with at least one legal guardian, then enrol them in a class for the school year.
- Teachers enter grades by subject and term, and record absences and lateness for their class.
- The office sets up the pupil's tuition fee schedule, resolved from a grid or entered directly.
- Each due instalment is billed automatically, or manually if the office prefers to trigger the invoice.
- The office handles the unpaid-fee reminders scheduled by the application, then prints grade reports, absence records and the unpaid list as needed.
What the application does not do
- It does not produce a digital school record conforming to the national education authority's formats, nor a lesson log or advanced pedagogical tracking.
- It does not electronically declare pupil numbers to academic authorities and does not manage canteen or after-school care.
- A teacher has no access to tuition fees or family billing: this is not just a hidden menu, access to that data itself is denied to them.
- It does not offer ready-made GDPR compliance: it provides the fields for a purge date calculated from a configurable retention period, but the legal basis and informing families remain the school's responsibility.
- The application never writes to a family behind on payment by itself: the email, phone call or letter remain a human action by the office.
Free and full editions
The free edition already covers pupil files, classes and their numbers, absences with an alert on repeated unexcused absences, grades and the termly PDF report, with no time limit. The full edition installs on top without losing anything, and adds the tuition fee schedule, billing and unpaid-fee reminders, with access separation between teachers and office staff.
Getting started
Create the classes for the current school year, enrol pupils with their legal guardians, then build a tuition fee rate grid if needed before setting the grace period and maximum number of unpaid-fee reminders.
