Working out which certificate actually covers a given batch, recounting by hand what has gone out under the organic label against what came in, hoping no unauthorised input slipped into a batch: the daily reality of a producer, processor or distributor certified organic in France. This application brings together certificates, production units, inputs, batches and mass balance.
Who the application is for
For producers, processors and distributors certified organic in France, who need to keep traceability records of their certificates, production units and batches for their certifying body.
What the application does
- Records your certificates with their certifying body, their scope and their validity period, and any suspension or withdrawal notified by that body.
- Describes your production units (plots, workshops) with their organic, in-conversion or conventional status.
- Tracks your inputs with their declared status, the supplier's certificate and, where relevant, the reference of the derogation authorising a non-organic input.
- Refuses to certify a batch if its originating unit is not organic, if no valid certificate covers its production date, or if a non-organic input went into it without a referenced derogation.
- Calculates a mass balance per product and per label over the chosen period, and refuses to validate it if a closing stock is negative.
- Checks your operator number, if you choose to, against the French public register of certified operators, through a dated automatic lookup that states its source and keeps the last known answer if the register fails to respond.
Day to day
- Record your certificate with its certifying body, scope and validity dates, then your production units with their status.
- Create a batch with its originating unit, its production date and the inputs used, then request its certification.
- Record each output from the batch with the label shown at the sale; an output that would exceed the recorded input is refused.
- Calculate the period's mass balance and validate it once every closing stock is positive.
- Record your certifying body's inspections, their findings and the actions taken before closing them.
What the application does not do
- It does not issue, suspend or withdraw any certificate: only the approved certifying body does that.
- It does not keep any list of products or inputs authorised in organic farming: that list changes and is a matter for your certifying body, not the application.
- It does not calculate a plot's conversion period: the certifying body is the one who notifies it.
- It does not send anything to your certifying body or to any third party on its own, and does not send any email on its own initiative.
- It does not replace your certifying body's inspection or opinion: the rules of organic certification change, and only that body is authoritative.
