Nursery: contracts, attendance and means-tested billing

Checking by eye whether the room isn't over capacity, recalculating each invoice at month's end by going back through attendance one by one: the daily reality of running a nursery or micro-nursery in France. This application controls capacity, records actual attendance and bills each month from the family's means-tested rate.

Who the application is for

For the management of a nursery or micro-nursery in France who want a single tool for children's files, childcare contracts, approved capacity control and monthly family billing.

What the application does

  • Keeps a file per child: legal guardians, payer, emergency contacts, authorised third parties, permissions and medical information.
  • Sets up a regular (monthly hours package) or occasional childcare contract, with an hourly rate automatically resolved from a means-tested rate grid.
  • Controls the maximum capacity when scheduling: an attendance slot that would exceed capacity is refused.
  • Records each child's actual arrival and departure, with a reason when absent.
  • Calculates monthly billing from the contract and actual attendance: extra hours, absences deducted according to their reason, quote then invoice.
  • Calculates the facility's occupancy rate over a chosen period.

Day to day

  1. Create the child's file with their means-tested rate and at least one legal guardian.
  2. Set up their childcare contract, regular or occasional, choosing a rate grid.
  3. Schedule attendance: capacity is automatically checked for each time slot.
  4. Record each day's actual arrival and departure, and mark an absence with its reason.
  5. At month's end, calculate billing, create the quote then the invoice for each child.

What the application does not do

  • It does not automatically generate a recurring weekly schedule: each attendance slot is declared individually.
  • It does not manage several rooms or sites with different capacities: capacity is a single setting per company.
  • It does not offer an online parent area, does not file anything with the French employer payroll service, and has no direct link with the family benefits authority.
  • It does not manage meals or supplies (nappies, bottles...).
  • The means-tested rate grid is entirely your responsibility: the application never updates the rates or caps published by the family benefits authority, and does not replace its advice or your accountant's — check your grid against the circular in force before billing.

Free and full editions

The free edition already covers children's files, means-tested childcare contracts and the planned attendance schedule, with no time limit. The full edition installs on top without losing anything, and adds approved capacity control, real arrival and departure recording, monthly billing and the occupancy rate.

Getting started

First set your facility's maximum capacity, build a means-tested rate grid that you have checked against the circular in force, then create children's files, their guardians and their contracts.
