A spreadsheet correctly shows who holds which certification and until when. It never says no. The day a supervisor assigns a plant operator whose CACES certification expired the week before, nothing stops it — and it is the employer who answers for that assignment. This application refuses the assignment rather than merely flagging it.
Who the application is for
For the health-and-safety department, the operations manager or the supervisor of a company in France who decides who works on what, and must be able to prove, in the event of an inspection or an accident, that the person assigned actually held the required certification that day.
What the application does
- Declares fully configurable certification types (CACES, electrical authorisation, first aid, ATEX, driving licences, welding, non-destructive testing, refrigerant handling, work at height…), set on either a fixed duration or a validity grid based on the holder's age.
- Calculates the expiry date and the recommended refresher date from the date obtained, and requires a supporting certificate before validating an employee's certification.
- Refuses to schedule an assignment if the worker does not hold, no longer holds, or has had suspended the required certification, naming the person, the certification and the date it stopped being valid.
- Allows a written, reasoned waiver to be granted, publishing the author's name and the date on the assignment and on the employee's record, covering only the shortcomings identified at the time it was signed.
- Alerts the person in charge, once per certification, as the expiry date approaches.
- Displays a skills matrix crossing every active employee with every active certification type, including crossings with no certification at all, with a filter for blocking shortcomings.
Day to day
- Declare your certification types and check the durations supplied, some of which are marked "to be confirmed": it is for you to correct them against your own references.
- Record an employee's certification with the date obtained and the supporting certificate, then validate: the expiry date is calculated on its own.
- Create an assignment stating the required certifications, then click Schedule: a refusal, if it occurs, names the person and the missing certification.
- For a shortcoming you decide to accept, grant a written reasoned waiver, or renew the employee's certification once a new one has been obtained.
- Check the skills matrix and its blocking-shortcomings filter to see, in one line, everything that is currently preventing an assignment.
What the application does not do
- It does not issue any certification and does not check the reality of a certificate with any body: it records what you enter and the certificate you attach.
- It does not draw up electrical authorisation certificates, which remain signed by the employer outside the software.
- It does not schedule or invoice training sessions.
- It does not replace the mandatory workplace risk assessment document.
- The durations shown remain default values, not an official confirmation: the French rules applicable to each certification type change, and the application does not replace the advice of the training body, the occupational health service or the relevant adviser needed to check them.
Getting started
Check and correct the supplied certification types, especially those marked "to be confirmed", then add your own types if needed. Record your employees' certifications with their supporting certificates, then create your assignments, always stating the required certifications.
