Driving school: students, packages, scheduling and tracking

A paper diary for lessons, a spreadsheet for remaining hours, and no one really knowing who hasn't shown up in three weeks: the daily reality of a small driving school with a few instructors in France. This application brings together student files, lesson packages and scheduling, with a dashboard to track activity.

Who the application is for

For the manager of a driving school with a few instructors in France, who wants to track students, lesson hour packages, lesson scheduling and exams without juggling a diary and a spreadsheet.

What the application does

  • Keeps a file for each student, with their target licence category and the expected documents, whose progress can be checked at a glance.
  • Sells an hours package from a formula catalogue, with automatic deduction of hours used at each completed lesson.
  • Schedules lessons by instructor and by vehicle, and refuses any clash with another lesson on an overlapping time slot.
  • Tracks the skills worked on at each lesson on a configurable framework, consolidated on the student's file.
  • Records exam attempts (theory and driving test), with an automatically calculated attempt number.
  • Shows a dashboard and automatic reminders: inactive student, package running low, theory test nearing expiry.
  • Prints the training agreement, the progress booklet and an internal end-of-training document.

Day to day

  1. Open the student's file and track the progress of their documents and licence category.
  2. Sell a package from the formula catalogue, then invoice it with the chosen payment schedule.
  3. Schedule each lesson by instructor and by vehicle; after the lesson, mark it completed to update remaining hours.
  4. Check the manager's dashboard to see the month's activity and let the automatic reminders flag inactive students.
  5. Print the training agreement or progress booklet whenever the student or the administration needs it.

What the application does not do

  • It does not electronically transmit anything to the student's official registration number or to an official exam system.
  • It does not generate any official administrative document: the end-of-training document is purely internal.
  • It does not include any online payment: the payment schedule uses standard accounting.
  • It does not manage the vehicle fleet in an advanced way (predictive maintenance, telematics).
  • It does not automatically track regulatory compliance: approval and theory test deadlines are management reminders, not a certification, and the relevant local rules do change — check them with the appropriate authority.

Free and full editions

The free edition already covers student files, hour packages with automatic deduction, clash-free scheduling, skills tracking and exams: it is the full data-entry base, not a time-limited version. The full edition installs on top without losing anything, and adds the dashboard, per-instructor indicators, the three automatic reminders, the three PDF prints and the online student area.

Getting started

Assign each instructor and manager their role, complete the licence categories, document types and formula catalogue, then adjust the default validity and alert-delay values according to what you have checked with the relevant authority.
