CSA baskets: contracts, deliveries and volunteer shifts

Keeping members' seasonal contracts on a spreadsheet, losing track of who picked up their basket last week, finding out too late that no volunteer is on duty: the daily reality of a French community-supported agriculture scheme or producer collective. This application brings together contracts, delivery scheduling, basket pickup tracking and volunteer shifts, for schemes of this kind in France.

Who the application is for

For community-supported agriculture schemes and producer collectives organised in France, who manage seasonal contracts with their members and run regular basket deliveries.

What the application does

  • Creates a seasonal contract per member and farmer, with one line per committed product; confirmation is blocked if the volume would exceed the weekly output the farmer has declared.
  • Schedules deliveries by location and date, refusing two sessions whose time slots overlap at the same place.
  • Generates the pickups to tick off for each delivery and lets you mark each basket as collected or not collected.
  • Organises the volunteer shift rota, without assigning the same volunteer to two overlapping time slots.
  • Invoices the seasonal contract to the member, one line per committed product, and automatically chases overdue invoices.
  • Automatically composes the week's standard basket from confirmed contracts, and prints a delivery sheet as well as an activity dashboard.

Day to day

  1. Create each member's seasonal contract and confirm it once the quantities have been checked with the farmer.
  2. Schedule the week's delivery, then generate the pickups to tick off.
  3. On delivery day, tick off each basket as collected or not, and check that the volunteer shift is properly covered.
  4. Invoice the season's contracts and let the automatic reminders flag overdue payments.
  5. Check the dashboard to track active members, committed volume and the basket collection rate.

What the application does not do

  • It does not manage the farm's own production logistics.
  • It does not include any online payment: these schemes mostly run on cheques paid in advance or on cash.
  • It does not check whether the farmer complies with the French national CSA charter, or with any other rule specific to this movement in France: those rules change and are a matter for your local CSA network, not for the application.
  • It does not calculate any income-based solidarity price for a member: the price committed on each contract line stays manually adjustable, case by case.
  • It does not validate any invoice on your behalf: the invoice is created as a draft, and posting it remains a human action.

Free and full editions

The free edition already carries seasonal contracts bound by the farmer's declared output, overlap-free delivery scheduling, pickup tracking and the volunteer shift rota, with two automatic reminders (an untreated basket, a shift still to be filled). The full edition installs on top without losing anything, and adds contract invoicing, overdue payment reminders, automatic composition of the week's standard basket, two printable documents and a dashboard.

Getting started

Declare your partner farmers with their product catalogue and weekly output, assign volunteers and coordinators to the appropriate groups, then set the default delivery duration, the minimum shift headcount and the default handling of an uncollected basket in the settings, according to your own charter.
