Two associations both want the same hall on the same Saturday, nobody remembers whether the last hirer's deposit was returned, and a booking gets confirmed for more people than the hall can safely hold. This application keeps the booking calendar, the fee schedule and deposits for council rooms, directly in Omnifloo.

Who the application is for

For the department that hires out a French council's rooms, from the reception staff who take requests and watch the calendar to the manager who confirms bookings, sets the fee schedule and handles deposits.

What the application does

  • Keeps a record for each room with its address, capacity, floor area and equipment, checking that capacity at every booking.
  • Applies a fee schedule per room and per category of hirer (local association, resident, outside hirer, business, council department), with a free-of-charge option for categories that do not pay.
  • Pulls the fee schedule amount automatically when a booking is created, while still allowing it to be adjusted by hand for a specific decision.
  • Refuses to confirm a booking if it overlaps with another booking already confirmed or finished for the same room, naming the clashing booking.
  • Refuses to register a booking if the stated number of attendees exceeds the room's recorded capacity.
  • Tracks the deposit received and returned, any damage noted, and the entry and exit condition reports in free text.

Day to day

  1. Register each room with its real capacity and, if your council requires one, the deposit amount.
  2. Build the fee schedule for each room, with one line per category of hirer.
  3. Register a booking request: several requests for the same slot remain possible as long as none is confirmed.
  4. Confirm the chosen booking: this is the point at which the overlap check applies.
  5. Close the hire once it is over: if a deposit was received and is neither returned nor covered by noted damage, closing is refused.

What the application does not do

  • It does not automatically apply the weekend rate: it can be entered as a data field on the schedule, but the amount calculated at booking still uses the weekday rate — adjust it by hand if your schedule distinguishes the two.
  • It does not offer online booking for residents or remote payment.
  • It does not collect payment: the amount is recorded, but collecting it is a matter for the council's own revenue office.
  • It does not provide a room floor plan or management of loaned equipment.
  • It does not generate a hire agreement as a PDF.

Getting started

List your rooms with the capacity set by the safety commission, not a comfort figure, and prepare each room's approved fee schedule by category of hirer before opening bookings.
