Manually stripping out a consultant's name, their current employer and their school before sending a file to an end client, then redoing the formatting for every tender: the repetitive work of a sales team in a staffing firm, a consultancy or an umbrella company. This application produces two outputs of the same file, from a single entry.
Who the application is for
For IT services companies, consultancies and umbrella companies that sell their consultants on the basis of a written file, and need to produce both a complete internal version and an anonymised client version.
What the application does
- Maintains a two-level skills framework: a domain, then a technology.
- Records, for each consultant, a level (basic, working, proficient, expert) and years of practice per technology.
- Produces two PDF outputs of the same file from a single entry: the complete internal version and the anonymised client version.
- Hides each mission's end client name by default, and only shows it if an explicit authorisation has been ticked.
- Refuses to generate the client version, whether through its dedicated button or the standard print menu, if the consultant's consent to disclosure has not been recorded.
- Flags every night, through an automatic recalculation, files that have become out of date against the chosen retention period.
- Calculates a fit score and the precise list of what is missing for each consultant candidate against a client need.
Day to day
- First complete the framework of domains and technologies, before recording consultants' skills.
- Create a consultant's file, with their current employer, school and declared skills — the first two fields remain reserved for the internal file.
- Record the consultant's consent to commercial disclosure, with its date, before trying to generate the client version.
- For each mission, record the real end client and an anonymised label, and tick the authorisation to name them only if that client has expressly agreed.
- Generate the client file from the consultant's record, and create a client need to calculate the fit of each proposed candidate.
What the application does not do
- It does not automatically analyse a resume: no import or extraction from a file is offered.
- It does not automatically match against external tender listings or sourcing platforms.
- It does not offer a self-service portal for the consultant: the file is updated internally, by sales staff or management.
- It does not include any electronic signature: consent to disclosure remains a dated record, not a signature process.
- It is not, by itself, enough to make your personal data processing compliant: the legal basis and retention period chosen remain your responsibility.
Getting started
First build your framework of domains and technologies, then create your consultants' files with their declared skills and each one's consent to commercial disclosure, before generating your first client files.
