A vehicle in an accident, a maintenance bill that arrives without anyone knowing whether it's normal, a roadworthiness test discovered overdue on the day of a road check: managing a small fleet of company vehicles often runs on scattered notes. This application brings together claims, each vehicle's real cost and service deadlines, on top of the bookings and logbook already in place.
Who the application is for
For SMEs with a small fleet of company vehicles — vans, company cars — already tracked through bookings and a logbook, who now want to know each vehicle's real cost and stop missing a roadworthiness or servicing deadline.
What the application does
- Records a claim per vehicle — circumstances, assessment, cost net of the deductible — and links it to the insurance contract already attached to the vehicle.
- Consolidates each vehicle's cost by period, adding claims net of the deductible to the cost of contracts and servicing already tracked, then allocates it by department in proportion to the kilometres driven.
- Flags, through two reminders specific to this application and without duplicating them, the roadworthiness test deadline and the mileage-based servicing deadline.
- Displays a dashboard: fleet size, pool usage rate, the month's cost, average cost per kilometre, deadlines to handle and claims in progress.
- Prints a cost summary by department, in your company's own colours.
Day to day
- Record a claim as soon as it happens: circumstances, repair cost and the deductible, then attach the relevant vehicle's insurance contract.
- Follow the claim from Declared through Assessed to Closed, using the buttons on its record.
- Check the dashboard to see the month's cost, the cost per kilometre and the deadlines to handle, whether contract, roadworthiness test or servicing.
- On each vehicle record, enter the next roadworthiness test date and the mileage servicing interval to activate the two reminders.
- Print the cost summary by department whenever you need it, from the vehicle record.
What the application does not do
- It does not calculate any benefit-in-kind for the private use of a vehicle for payroll purposes: that calculation still has to be done separately.
- It does not manage any on-board telematics (GPS unit, driving data).
- It does not automatically report anything to the insurer in the event of a claim.
- It does not check the validity of any driving licence against an official register.
- It is not a tax or regulatory compliance tool; the scale applicable to private use changes over time and must be checked by you.
Free and full editions
The free edition already covers vehicle bookings (named allocation or pool, with double-booking refused), the trip logbook that feeds the mileage record, and the signed usage charter. The full edition installs on top without losing anything, and adds claims, consolidated per-vehicle and per-kilometre cost, the two roadworthiness and servicing reminders, the dashboard and the PDF cost summary.
Getting started
Install the free edition with your fleet and your bookings already in place, then the full edition on top. On each vehicle record, enter the next roadworthiness test date and the mileage servicing interval, then set the timing of the two reminders to match your own tracking pace.
