Who the application is for
For a French council's after-school care service, covering the canteen, morning and evening childcare, and other after-school activities. It does not cover a pupil's classes or school absences, nor a holiday club with its staffing ratios, which belong to other dedicated applications: its subject is the everyday school-time gap that neither of those covers.
What the application does
- Keeps each family's household income band with its validity date, and groups siblings under a single family record.
- Handles two forms of enrolment that coexist for the same child and the same service: a recurring weekly plan and an occasional one-off day.
- Tracks attendance service by service (canteen, morning childcare, evening childcare, after-school activities), never for the day as a whole.
- Applies three separate billing rules: a meal not cancelled in time is still billed, a child present without an enrolment is billed with a surcharge, and an absence cancelled in time is not billed.
- Blocks the month's billing if a family's household income band has expired by the billing date, flagging it so an up-to-date certificate can be requested.
- Generates one monthly bill per family, never per child, bringing together all billable attendance for every sibling in that family.
Day to day
- Create the family record with its household income band and validity date, then add the siblings.
- Enrol each child in the service needed, either on a weekly plan or for an occasional day.
- Track each service day by day: if a child is absent, note the date and time the family gave notice, so the correct billing rule applies.
- At month end, generate each family's bill: all billable attendance for every one of their children is pulled together in one go.
- Approve the bill once checked: an amount already billed is never recalculated, even if the income band or the fee schedule changes afterwards.
What the application does not do
- It does not manage a pupil's classes, grades or school absences.
- It does not cover holiday clubs, residential stays or a holiday centre's staffing ratios.
- It does not read biometric data or badges: attendance is entered in the tool, not at a terminal.
- It does not offer an online portal for families to enrol or cancel themselves: cancellations are entered by staff, with the date the family gave notice.
- It does not issue the official invoice or collect payment: the amount is calculated, but recovering it is a matter for the council's own revenue office.
