Every month, validated invoices, credit notes and expense claims need to reach the accounting firm, through the right channel and without anything missing along the way. Sorting the records, grouping them, choosing the right format and checking they actually arrive takes time, and that time comes back every month. This application selects the records that are ready, puts together the batch and sends it for you.

Who the application is for

For business owners and in-house accountants who entrust their bookkeeping to an external accounting firm, whichever one it is, and who want to send it their records without drawing up a list by hand or preparing an archive every time.

What the application does

  • Selects the validated records: customer invoices, credit notes, supplier invoices and approved expense claims.
  • Puts together a batch with the PDF documents, the standardised electronic file attached to sales invoices, and a summary log.
  • Sends this batch through the chosen channel: your accounting firm's own online entry point, email, secure deposit on a server, a synchronised shared folder, or manual download.
  • Keeps the status of each record — to send, sent, failed — and retries failures without starting over.
  • Sends a report by email after each batch.
  • Can run on its own every day or every week, once the settings have been chosen.
  • Works with any accounting firm that accepts records by email, secure deposit or shared folder, not just one particular firm.

Day to day

  1. Choose the transmission channel and enter the details provided by your accounting firm.
  2. Tick what should be sent — sales, purchases, expense claims — and switch on, if needed, the standardised electronic file attached to sales invoices.
  3. Run a first small batch by hand and check that the firm receives it and reads it correctly.
  4. Track the status of each record and let failures retry on their own.
  5. Switch on the regular sending once you are confident, and keep an eye on the report received after each batch.

What the application does not do

  • It does not import anything back: it is a one-way send, not a synchronisation.
  • It does not produce the French Fichier des Écritures Comptables (FEC) tax file, a trial balance or a general ledger.
  • It does not replace your accountant's review of your records.

Getting started

Get hold of the transmission details provided by your accounting firm — a collection address, access to the secure deposit, or the path to the shared folder — choose the categories of records to send, and set the address that will receive the report after each batch. Also agree with your accounting firm on the sending frequency that suits it best, daily or weekly, before switching it on, and check with them that the first batch received matches what they expect.
