Between the record of game stakes to be remitted, the evening till count and the margin calculation by product family, a French tobacconist-newsagent adds up several tables every day that do not talk to each other. This application, built for a French tobacconist-newsagent, brings these three accounts together in one place.
Who the application is for
For French tobacconist-newsagents, who hold regulated product categories specific to that trade — tobacco, press, lottery games, stamps — and who have to remit stakes, account for the till and track their margin family by family. It relies on French rules and is not meant for any other country.
What the application does
- Records a game slip per period, with the stakes declared by your terminal, the commission calculated and the amount to be remitted to the network.
- Shows the gap between declared stakes and the actual till count for games, as a signal to check, never as a ready-made explanation.
- Keeps a daily cash closing with two readings of the same takings: by payment method, and by regulated family taken from each item's category.
- Shows the gap between these two readings and locks the closing once validated, with reopening possible by a manager.
- Consolidates a margin table by family over a chosen period, combining press deposits, game slips and, where relevant, invoiced sales of tobacco or stamps.
Day to day
- At the end of a games period, create a slip: network, dates, stakes declared by the terminal and amount counted in the till.
- Each day, open the cash closing and fill in both breakdowns, by payment method and by regulated family.
- Check the gap shown between the two breakdowns before validating: a non-zero gap signals a forgotten family or a wrongly entered amount.
- Validate to lock the day; if there is a data-entry error, a manager can reopen the closing.
- At month end, open the margin table, choose the period and calculate: the margin by family appears, including deposits, unsold returns and games.
What the application does not do
- It does not connect to any tobacco supplier system or any lottery network: every amount is entered by hand, from your own slips.
- It never calculates the discount or commission rate itself: those rates are set by agreement and revised, and you maintain them yourself on the regulated category.
- It is not a touch-screen till: the closing records a result counted elsewhere, it does not take the payment itself.
- It does not manage fiscal stamps themselves, only the margin on their resale, and does not check a customer's age for a tobacco sale in any way: that check stays human, at the counter.
- The French regulatory rates and thresholds it uses change over time: it does not replace the advice of your suppliers or of the relevant authority.
Free and full editions
The free edition already keeps the regulated categories with their own rates and thresholds, the press deposit slips and unsold-copy tracking with an alert. The full edition installs on top without losing anything, and adds game slips, the daily cash closing and the consolidated margin table by family.
Getting started
First check, with your suppliers and the relevant administration, the margin and commission rates specific to each regulated category, then adjust them on your categories. Then attach each item to the correct regulated category: it is what feeds the cash closing breakdown and the margin table.
