In Canada, every province and territory has its own workers' compensation board, under its own name and with its own rules. A subcontractor whose clearance certificate has lapsed, or whose employer number is missing, can prove costly for the party that hired them. This application adds the thirteen Canadian boards to the subcontractor clearance register.
Who the application is for
For businesses based in Canada that use subcontractors and need to track, province by province and territory by territory, the workers' compensation clearance required by the relevant board.
What the application does
- Adds the thirteen Canadian provincial and territorial workers' compensation boards to the register, with their exact name.
- Carries the validity period of the Ontario clearance certificate, the only one that could be confirmed directly with the board; the other twelve jurisdictions are left for you to fill in, with your own source.
- Leaves the duration of the Quebec compliance certificate blank, for lack of an available official confirmation, to be completed on each certificate received with its own end date.
- Adds, board by board and at your choice, a payment-blocking reason when the subcontractor's employer number is missing or blank.
- Carries a free-text "legal basis" field on each board, for you to fill in yourself with the text you have read.
- Offers a button that opens the relevant board's verification portal, to look up or copy a number.
Day to day
- Filter the insurance boards on Canada and check their name, province or territory.
- Enter the missing validity periods yourself, with their source, as soon as you know them.
- Tick, board by board, whether the employer number should be required before confirming a payment.
- Open the board's portal from the subcontractor's file to look up or copy their number.
- Fill in the legal basis for each board as you find it in your own research.
What the application does not do
- It does not provide any provincial rate or classification code: these are published by each board and revised every year.
- It does not connect to any provincial portal to verify a document: the button opens the portal, verification stays manual.
- It does not decide to stop a project or terminate a contract.
- It does not replace the advice of a lawyer or a specialist insurance and employment law adviser in Canada: rules vary from province to province and change over time.
Getting started
Identify the province or territory of each of your subcontractors, check with the relevant board the validity period of the certificate it issues, and decide, board by board, whether the employer number should be required before confirming a payment. If in doubt about a rule, consult a professional qualified in Canadian employment law rather than relying on a default value.
